Secrets To Setting Up A Successful Business

In 1957 Drayton Bird’s situation was bleak.

He was making 7.00 a week editing a small trade journal.

Even in those dear, dead days when cigarettes cost the equivalent of 10p a packet this would not support a wife and child – even in the two-up two-down cottage with outside lavatory they lived in.

He had to do something.

At the time, Drayton was much taken by a smooth aristocratic friend who worked in advertising.

He seemed to be making pots of money without too much effort and advised Drayton to become a copywriter.

It took six months using all his reserves of servile flattery to find a willing employer.

Drayton had three qualities to offer, apart from desperation.

One – He was brought up in a northern pub with a widely varied clientele. Encountering very different kinds of people after they have had a few drinks is splendid education for life.

One minute he might be serving a pint of best mild in the vaults to Alec, whose party turn was describing how his wife had gone out one day for a loaf of bread and never returned.

The next he would be listening to a mottle-faced cotton magnate in the American Bar lamenting the Socialist government’s determination to part him from all he possessed.

Two – He could write.

You may consider this essential for the job he sought, but this is not apparent to many would-be copywriters.

An alarming number cannot spell, punctuate or write long sentences – let alone tangle with such niceties as ‘it’s’ versus ‘its’, ‘compliment’ as opposed to ‘complement’ and so on.

Three – He had read every book on advertising in Manchester Public Library – there were three – and enrolled in an evening course on the subject.

You may also see these preparations as obvious, but not all agree: when Drayton finally entered the industry, he discovered few of his colleagues had taken the trouble to study the subject, or were even clear about the purpose of advertising.

It has now been over 50 years since Drayton entered advertising.

Zoom forward over 50 years, Drayton has been named one of the top 50 individuals who’ve shaped today’s marketing. And David Ogilvy said he “knows more about direct marketing than anyone in the world.”

A few days ago, I managed to coax Drayton away from his busy schedule for an interview, just for you.

And in this interview he reveals, for the first time, almost everything you need to do to set up a successful business.

He goes into as much details as he possibly can, given the short time available for the interview. (It runs for just over 50 minutes).

He mentions the need to study what others are doing: The successful and the unsuccessful ones. As he says, “We learn as much from the way in which people have failed as we do from the way in which people have succeeded”.

However, before you go onto listen to the main interview, here’s a couple of questions Drayton answered in a little more detail via email. Read this first and then go onto the audio portion.

This is all meat.

Rezbi:

The bottom dropped out of the economy, but it’s now picking up again. Your business went bust. All your clients’ businesses also went bust, so you can’t even write copy for them.

You have nothing except what’s between your head, and the only way you can get back into business is via the web – an online business.

You can use any means at your disposal, but you only have 200 to do it with. You can create your own product, or sell as an affiliate, or any other way you can think of based on the resources you have.

What would you do?

Drayton:

I would do the things I did in pretty much the same situation.

1. When I saw the internet was going to be huge – and that I was seen as a dinosaur – I built a website offering lots of free information about marketing. All that costs is a knowledge of WordPress – not money – and a knowledge of marketing. Again, freely available.

2. I sent out an e-mail to a list of marketing people offering helpful marketing ideas, free. I think I could offer those today without any list on the social sites. Costs you nothing.

3. I thus built a list – as you could, free. Then I offered to write copy for the people on the list.

I have done a few other things, but none cost any money

Rezbi:

Similar question to the first, except now you’ve been asked for advice.

The questioner is a 20 something graduate who left University with a degree, but no education. He’s been struggling to find work with no luck, so has decided to go into business.

Trouble is, he’s only got 200, but he can use any means, online or offline. And he’s got a year in which to get his business going and achieving some level of sustainable income.

He’s willing to do whatever it takes, including studying further to first get the required knowledge, and then starting the business. Or even side-by-side.

What advice would you give him?

Drayton:

1. The best time you will ever spend is not in trying to get going in business. It is in study.

2. It’s easy to give in to despair. Don’t. Learn. This gives you an incalculable advantage. Most people know too little.

3. Settle on something that really interests you. Most people don’t give enough thought to this

4. Be willing to give up a lot to pursue it. Few people make enough sacrifices.

5. Don’t just sit around thinking about it – most people just dream. Do it.

6. I would study:

a. New businesses that are doing well (not old successful ones)

b. How to write better – few people can do that at all well

c. How to sell face to face (get a job doing it)

d. How people are selling online

7. If I saw a business that was doing everything right, offer to work for a month free.

Sorry this is a bit vague – but the question is utterly impossible.

The best advice I can give is, don’t give up. I had a minor nervous breakdown when trying to get my first job in London.

That’s just a taster. Personally, I haven’t heard Drayton go into this depth in any other interview, with anyone else. The rest of the interview is even better and I’m sure you’re going to love it.

Then the nuclear reactor area which scientists and politicians had stated was safe for residents became unsafe. The people of Japan have been financially, physically and emotionally devastated.

4. The winter conditions across the United States – Blizzards of the 2011 winter prevented individuals from leaving their homes and businesses for days at a time. Many died when they were unable to receive medical treatment or emergency services due to snow that blocked the paths of responders.

Every day the news relays details of tornadoes, smog, wind storms, hail damage as well as other environmental conditions that not only affect the residents of an area but also do significant damage to businesses. When these occur, revenue is lost but money is also required to fund clean up operations.

It is important to remember, however, that sometimes there are businesses that do well because of the environmental conditions that are reeking havoc on others. Safety supplies, water bottlers, portable housing unit manufacturers and food producers are needed to help the people who have been left homeless or injured. Building supplies are also needed to replace the communities that were destroyed.

Generally speaking, however, pollution and violent weather conditions can hurt business endeavors in an extremely short period of time and there is really nothing that you can do about it if you are in the path of destruction.

Networking is vital for any business as it is a successful way of expanding your companies client base. Advertising via newspapers, magazines, television or radio and giving away promotional items are all great ways to spread your company message, but networking is a more personal way of connecting with your clients and building up a personal rapport.

Choose the right event

You will need to attend the right event that is appropriate for your business. Go to events that are relevant to your industry and where the guests are going to be in need of your product or service. Trade shows and conferences all provide fantastic networking opportunities and not only can you gain business but you might also meet people that can help your business.

First impressions

First impressions always count. Make sure your first impression is a good one as you only have one opportunity. Shake hands with people that you meet, make eye contact and use their name when introduced. More importantly, don’t forget their name. It can be flattering to have someone who has just met you to remember your name and if they introduce you to someone else it can make you feel that you are worth remembering. You want to make all potential clients feel this special, so get good at recalling people’s names. Be genuine when you meet people. Don’t come across as trying to win friends for business sake only.

Quality contacts

It is the quality contacts that you want, rather than just to collect a large group of names that could lead to nothing. You are better off spending time dealing with a few people and making positive and useful connections, rather than speaking to masses of people but only being able to afford them limited time. It would also be hard to go into detail with these people and remember everything about them. Creating a good network of business contacts means developing a relationship on a more personal level, so you want to be able to afford potential clients your undivided time.

Be clear

Don’t confuse or overwhelm your target audience. State clearly what it is that you do and what your company provides but don’t make the focus all about you. Briefly outline who you are and what you represent but then work to finding out what your potential customer needs, and then show them how you can solve their problem. Be a good listener and when you know exactly how you can help them make sure you don’t bombard them with information. Highlight how you can help them and then offer to expand further at a time in the near future that best suits them. Wet their appetite and have them coming to you for help when they are ready. This way you won’t come across as a pushy salesperson.

Follow up

You need to maintain a relationship with these new contacts, so follow up where you left off. If you promised to come back to a person with an answer to their problem then make sure you do it. Even a polite card or note to people that you spoke to, saying you enjoyed meeting them and hope that you can deal with them in the future, can be a great follow up method. It puts your name and business back in front of them and will create a further good impression.

What is their compensation system and can you understand it?

One of the major issues you need to pay attention to once you transition from college to a job is your business contacts.

Once settled in your job, you will come across a lot of people whether inside your own organization or outside. It is customary for business people nowadays to have business cards that capture the important information about themselves.

A business card of a business contact will contain:

- His name

- His company name

- His role in the company

- His contact information like telephone and email

- His address

- And some people include their company’s mission or vision statements on their business cards.

I advise you to have a business card. Do not accept not having one in your organization. If your company, which I doubt it, does not provide you with cards then go out and do them yourself. There are thousands of places where you can do this nicely and cheaply. The bottom line is you must have them no matter what.

Your business card will be like a mini brochure about yourself that you can give to another business contact to keep in touch.

The next time you attend a company meeting or function whether internally or externally, make sure to meet new people. You should have a goal actually to know at least 2 or 3 new people. Make it a habit to ask your new business contact for his or her card. More often than not he will ask you back for yours.

Once you take a business card from someone, do not hurry to hide it in your pocket or wallet. Instead grab it in your hand and read it thoroughly. If your business contact does not ask for your card during or after you read his, offer him yours by saying, “And this is mine” while extending one of your business cards to him.

It is considered rude sometimes to take a business card and not read it.

Now here is the interesting thing, this small piece of cartoon contains a wealth of information to keep a conversation alive with your business contact.

From the address on the card you would know where he or she is living, in which country and city. So you can ask him or her about the city he or she lives in? About living there? Its weather and tourist places for example.

From the position in the company, you can ask about the role in the company and what he or she specifically does. You get the idea, be creative, try to come up with as many topics to talk about from the information you see on the card as possible. I will tell you now about something important you need to do. After you and your business contact separate, you need to capture essential information about the contact on the back of the card.

So once you separate, flip the card and write the following:

- Where you met

- Anything interesting you discussed

- Any promises made (You might have promised to send some documentation about a product you sell or a story you read or whatever)

- Any personal information, like for example your business contact might have mentioned that he or she has two sons or that he or she likes a certain restaurant

- Any features that would remind you of him or her again, like if he has a black beard or if she has wide eyes

You get the idea, try to capture as much information as you can on the back of the business card itself. You might be thinking that the business card is too small to capture all this information, but believe me when I say that you can put all the above and more, I have done it myself many times.

The reason why you should write this information on the back of the business card is that leaving it to memory will not be a good strategy as you might forget or mix the conversations of two business contacts.

In summary, these are some of the important tips you need to keep in mind when you come across a business contact. First, do not forget to have your business cards. Keep a load of them with you, in your jacket, in the car, in the office, in the house. Always make sure that you have your business cards with you wherever you go. They will help perform the above drill and open a conversation with someone. They are the mark of a sophisticated networker. Remember always to read the business card of a business contact the moment he hands it to you. Make it a habit to capture the important information you come to know about the business contact on the back of the business card.

Report Writing – How to Format a Business Report

Introduction

Report writing is a time consuming business so it is a great shame if, having devoted all that time to writing your report, the quality is such that hardly anyone can be bothered to read it. Quite frankly, most report readers do not actually read all the report; they are too short of time. You might as well know it and accept it — that is normal. They only read the parts that interest them. Frequently these are the summary, the conclusions and recommendations.

Of course, some readers do need all the details you so carefully included, they are specialists, but most do not. Most readers just need two things: that the information they want is where they expect it to be so they can find it, and that it is written clearly so that they can understand it.

It is similar to reading a newspaper. You expect the news headlines to be on the front page; the sports coverage to be at the back; the TV listings on page whatever and the editorial comment in the middle. If what you want is not in its usual place then you have to hunt for it and you may get irritated. So it is with a report.

There is a convention as to what goes where. Stick with the convention and please your readers. Break the convention and people may get slightly irritated – and bin your report.

So what is that convention, the standard format?

Standard Sections

Title Section. In a short report this may simply be the front cover. In a long one it could also include Terms of Reference, Table of Contents and so on.

Summary. Give a clear and very concise account of the main points, main conclusions and main recommendations. Keep it very short, a few percent of the total length. Some people, especially senior managers, may not read anything else so write as if it were a stand-alone document. It isn’t but for some people it might as well be. Keep it brief and free from jargon so that anyone can understand it and get the main points. Write it last, but do not copy and paste from the report itself; that rarely works well.

Introduction. This is the first part of the report proper. Use it to paint the background to ‘the problem’ and to show the reader why the report is important to them. Give your terms of reference (if not in the Title Section) and explain how the details that follow are arranged. Write it in plain English.

Main Body. This is the heart of your report, the facts. It will probably have several sections or sub-sections each with its own subtitle. It is unique to your report and will describe what you discovered about ‘the problem’.

These sections are most likely to be read by experts so you can use some appropriate jargon but explain it as you introduce it. Arrange the information logically, normally putting things in order of priority — most important first. In fact, follow that advice in every section of your report.

You may choose to include a Discussion in which you explain the significance of your findings.

Conclusions. Present the logical conclusions of your investigation of ‘the problem’. Bring it all together and maybe offer options for the way forward. Many people will read this section. Write it in plain English. If you have included a discussion then this section may be quite short.

Recommendations. What do you suggest should be done? Don’t be shy; you did the work so state your recommendations in order of priority, and in plain English.

Appendices. Put the heavy details here, the information that only specialists are likely to want to see. As a guide, if some detail is essential to your argument then include it in the main body, if it merely supports the argument then it could go in an appendix.

Conclusions and Recommendations

In conclusion, remember that readers expect certain information to be in certain places. They do not expect to hunt for what they want and the harder you make it for them the more likely they are to toss you report to one side and ignore it. So what should you do?

1. Follow the generally accepted format for a report: Summary, Introduction, Main Body, Conclusions, Recommendations and Appendices.

2. Organise your information in each section in a logical fashion with the reader in mind, usually putting things in order of priority – most important first.
